2009... drumroll, please.... We'll be back at Montgomery Bell! YAY! Yes, that's right folks. We'll start taking reservations NEXT year in March, so keep an eye out for that cabin map! We even have dates for 2010 and since its never too early to post them, here they are (and when this year's stuff is gone I'll make them their own thread). Beltaine XVI, 2010 will be April 29 - May 2... at Montgomery Bell as long as we don't * things up again!

Make plans to come to Beltaine this year. The Epic Battle of the Gods will transpire at the hallowed grounds of Montgomery Bell Park by the Twilight Citadel of Dur-Demarion.

The Three Gods who wage this war have planted necklaces which, when donned, will bestow some very playable combat powers.
To be sure that the quickest and cleverist of warriors obtain these Gifts from the Gods, the keepers of the Twilight Citadel have enlisted the help of some rotten Seafarers, some odiferous Piratical scalawags. They will produce maps and puzzles to boggle the mind and mislead even the most fox-minded warriors and logicians.

There will be feasts and games, battles all day, and the gods brought us a battleground with a fine Hall, cabins to keep warriors dry in abundance, and there is promise of High Bonfires to raise a beacon to all and tame the chilly Spring Nights!

It will be a good event to come out of hiding for, and a great place to fight in epic battles, reconnect with old friends, and make new comrades from all over!

OK folks...Beltaine Pre-reg will work like this.

Cost at the door is $20.00. Pre-reg is $15.00

You can pay three ways. In person, via snail mail, and through Pay pal.

Prereg will begin the first part of March, 2009

The link for PayPal will be on the Dur-Demarion site soon, look for details. (there will be a $2.00 fee PER TRANSACTION for this feature)

WE MUST KNOW the names of all of the people you are paying for.

You must pay for 2 people if you want a 2 man cabin. 2 people for a 4 man cabin. 5 people for a 10 man cabin. We must know who you are paying for when you pay.

To pay via snail mail, please send money order or a check, (cash is ok, but not recommended. You CAN Make your check out to Harvie Butler (Yes, you can use Fedex)

Pre Reg cabin picks will be done as follows. (If you want to tent, please let us know)

If you want a cabin, please include 3 cabin choices..in case your first 2 ARE NOT available. We will have a map on The Dur D web site. When we assign cabins, we will take one Dur-Demarion pre-reg, then one out of town pre-reg, then so on, back an forth until all cabins are assigned. If you are tenting, this doesn't affect you. None of the pay pal or snail mail payments will be processed until the day of assigning. So please wait until at least then to find out if we received your payment and what cabin, if any you get.

Pre-Registering for the event is good for a lot of reasons.

1. You get a better chance at getting the cabin of your choice
2. The even coordinators can plan more effectively (food, supplies, etc)
3. You save $5.00
4. Your name gets to be posted on the board!
5. You save $5.00

Finally, with your pre-reg money, we need the following or we will not process your request.

1. Mundane names of EVERYONE you are paying for
2. Character names of EVERYONE you are paying for.
3. Are you tenting or looking for cabin?
4. If you are requesting a cabin, which 3 would you prefer? (they are not guaranteed, but pre-registering gives you a better chance at getting your choice.

There is a way to pay for multiple cabins. You can either use the PayPal buttons set up for single person reservation, 2/4-man cabins, and 10-man cabins on the registration page or you can go directly to the PayPal site and enter the e-mail address of the PayPal account and plug in the amount you're paying for the number of cabins you're requesting. If you're making multiple reservations simply multiply the number of cabins time $30 then add $2 for the service fee.
There is a $2 service fee each time you use PayPal. Each 2 or 4 man cabin is a minimum of $30, which pays for 2 people and 10-man cabins have a minimum cost of $100. Once you make your payment then e-mail me to let me know which cabins you're requesting.

Let's also remember that people are travelling to this event, and they could probably use the amenities afforded by the camp's cabins. So fill your cabin with people, that way somebody making a 10+ hour drive can have a dry cabin with a bunk and lights, plus electrical outlets!

It's just hospitable.

Please, tell your under 18agers that the minors waivers are available for download and they must have a parent/guardian notarized signature or they'll be turned away at troll.

i paid for a cabin, number 17 would be perfect. i may have a bunk mate but not sure yet. oh and real name is gary chamberlain.

i guess i will have to ups my gear too. an address to that end would also be helpful. any of this can be done via pm to avoid putting personal info on the web.

I'll have a presentation for my measurements class due either the day Beltaine starts or the day after I'd get back, then I have one more class period, then the final in that class. I haven't checked on my smart materials class's schedule yet, but if there's ANYTHING going on then, I'll almost 100% not be able to come to Beltaine this year.

But I'll see what I can do.

Questions: in the case of multiple cabin reservations under one name/unit will the cabins be handed out round robin, or will a name drawn get all of their choices or just the first on their list? There is a question of planning for event-goers, as some ppl will not want to go if they cannot camp with their pals.

My concern is this, some of us are going to Winter War this weekend and won't be at the field on sunday. What then happens if our name is drawn out of the hat?? And this sounds like units won't be able to camp together as in the past if random cabins get handed out, we could be scattered to the four corners of the park. How many people honestly do you think are going to want to attend if this is the way that pre-reg is run? I can see the theory behind this so that it's fair to more people and they get a chance at a cabin...but why can't it just rotate from year to year as to who gets what cabin?

Rache and I have already discussed the "multiple cabin pre-reg" issue and all is as it always has been.
If people are paying for more than one cabin... for instance you pay for 2 cabins, list 2 sets of numbers (ie 3 numbers for each cabin for a total of six in order of preference). The multiple pre-regs will go into the 'hat' and drawn as one full set, that way if you've pre-paid for two cabins you'll get your first choice for both cabins (or second choice if the first is taken by a previous draw, etc). In other words, one name, one draw = cabin choices. I know it sounds a bit confusing, but its really not.

Believe it or not this is the way we have run pre-registration in the past several years, but this time we're actually explaining what is being done. Maybe that was a mistake, I dunno... but it all works out in the end.

Please don't get all worked up over everything. As always, all is being done to accommodate people as best as possible so unit and friend cabins can be as close as possible.

Same as you always have in the past. When you send your payment -- via PayPal, check/money order, flying monkey, etc. -- include your contact information (as in your e-mail address or phone number) and you'll be contacted after the 1st... as was clearly stated in the post I made when pre-registration opened.

OK, just in case we were not clear, and by all means, we want to make sure that everyone understands how we are doing things. Before "PayPal", you could send us a check or money order and on the day of "pre-reg" we would look at your payment and assign cabins. With Paypal, this is no different, you pay for a slot, give us multiple choices and on the day of pre-reg, we assign cabins. We will give one person from Dur-D a cabin and take one person from out of town and assign them a cabin and so on.

To reiterate, on Assigning Day, March 1st, we will begin the cabin lottery. All paid submissions for out-of-towners will be placed in a hat. As for the paid submissions for Dur-D's, we have 2 options, we can either place all paid submissions in a different hat or those present at the park will decide the order of picking for Dur-D's only, this decision will be made on Assigning Day by those present. The lottery will happen like this, 1 paid submission will be taken from Dur-D, then 1 paid submission will be drawn from the out-of-towners hat, then 1 paid submission will be taken from Dur-D, then 1 paid submission will be drawn from the out-of-towners hat, and so on until there are no more paid submissions.

You can request multiple cabins in 1 submission as long as the appropriate funds have been paid. For example, if you would like to request 3 4-man cabins you would need to pay $90 (3*$30).

For clarification, if you request and pay for a 10 man cabin ($100), and there are no 10 man cabins left, you will be assigned the appropriate number of 4 man and/or 2 man cabins and as close together as space will allow.

Cabins were assigned today. Ora will have that up soon. I think that most folks got pretty much what they asked for or close. Now for the mean part;

While we understand that some things can get lost in "internet world" and we are patient folk, we are going to stand behind what we said in the original posts. If you paid for multiple people, we need the mundane and character names of everyone that you paid for. (We know that some people don't have character names). If your reservations show up on this forum with something like "need a name" or "missing a name" or whatever other than all names paid for, please email Ora and myself the needed info. If you do not, we do reserve the rights to refund your money and take your cabin from you. We are trying to cut down on confusion at Troll. So please help us out here.
